The Client Brief
The client requested quotations for a Live Video Streaming Hybrid Event. The eighth edition of the Global Forum on Nicotine conference took place in Liverpool, on Thursday 17th and Friday 18th June, at the Crowne Plaza Hotel.
Kick were provided with a brief to deliver a Video Streaming Hybrid Event. We were tasked with technically bring to life the concept and vision proposed. Covid travel and quarantine restrictions were in place. The client wanted to ensure that colleagues around the world would be able to participate. The programme would be streamed live between 11.45pm to 5.30pm online to viewers across the world. Remote online panelists would join audience members at the venue to discuss topics together with the host for each session.
Viewers would be watching live from all corners of the globe, some at uunsual times of the day and night. Therefore we were required to produce an engaging approach as mentioned in the brief; ‘Netflix meets CNN’.
The Solution
Our solution was to supply a corporate meeting staging backdrop with audio, lighting and video support for the event. This would meet the requirements for the main plenary room. We also created a separate TV studio so that presenters could provide commentary on each of the previous sessions. The GFN studio team consisted of three presenters. They would discuss topics raised and provide the online viewers with uninterrupted content throughout the day.

Live Streaming
To keep online viewers engaged for a full day’s schedule, it was important for the look and feel of the webinar to be stylish and captivating.
We used designed templates to combine live venue camera shots with remote speakers from online. A grid showing all panelists would switch to single speaker mode as each person took their turn to speak. Moving tickers at the bottom of the screen would help keep the viewers informed of the up and coming sessions.
A team of 12 technicians managed different parts of the hybrid event. Audio, lighting and video technicians would be responsible for the live aspect, operating in the main plenary. The remaining video team were positioned in the GFN studio.
A Zoom Technician would first meet the remote panelist prior to their session. After checking their audio and video they would wait in an online ‘Green Room’ to watch the live proceedings before taking part.
Seven 4K cameras were mixed live by a vision director. Images from the venue hosts and audience would be combined with the online panelist feeds. This was then fed into the graphics grid. Using the Barco E2 system the operator would provide separate feeds. Each feed had individual content for the online transmission and to screens and monitors in the venue.
